ORGANIZATION OF DOCUMENT FLOW AT THE ENTERPRISE: KEY ASPECTS AND EFFECTIVE METHODS

Abstract

In the context of rapid digitalization of the business environment, the organization of effective document management becomes a key factor in ensuring stable, transparent, and controlled operations of enterprises. Document flow not only covers the transfer of management information, but also plays an important role in shaping the internal structure, compliance with legal requirements, and supporting corporate culture. In this regard, there is a growing need for scientific understanding of effective approaches to building modern document flow systems, in particular with the use of electronic and cloud technologies. The purpose of the article is to study the key aspects of document flow organization in enterprises of various types, identify current problems and barriers in the process of implementing electronic document management systems (EDMS), and develop practical recommendations for improving these processes in accordance with the level of digital maturity and industry specifics of enterprises. Research methodology. The research uses a comprehensive approach that combines methods of analysis and synthesis, a logical-comparative method, an expert assessment method, as well as an analysis of scientific literature, reports from practitioners, and examples of EDMS implementation at Ukrainian enterprises. This approach made it possible to identify the most common document management models and evaluate their effectiveness. Research results. The article systematizes the current state of document management at enterprises of various sizes — from large corporations to small businesses and government agencies. Typical problems that hinder the effective implementation of EDMS have been identified, including organizational resistance, fragmentation of systems, low level of digital competence of personnel, and legal uncertainty of certain issues. Particular attention is paid to the advantages and risks of using cloud technologies, which are increasingly being used in the field of office work. A number of practical steps are proposed to improve the document management system: assessment of digital maturity, selection of appropriate software, development of a regulatory framework, staff training, and ensuring information security. Practical value. The article is of practical value for specialists involved in the implementation and optimization of document management systems in enterprises. The recommendations provided can be used as a basis for developing internal document management policies, selecting effective technical solutions, and building an information flow management system in the context of digital transformation. The research materials can also serve as a basis for further scientific research in the field of management process automation.
